They must be able of handling the logistical, security, and human elements of the prison in an intelligent manner. All of these tasks should be accomplished while also maintaining meticulous records of the inmate and correctional facilities activities. When done manually, all these tasks are time consuming and also energy resource extensive. That is why more correctional facilities are embracing jail management system. These are software suites that automate the management and administration process and by so doing enable more efficient functioning.

Let’s take a look at the challenge faced and how that has been addressed. First, the correctional facility faces a challenge of keeping proper and up to date records on the inmates and their activities. The records must be maintained daily and updated as relevant. This means that constant attention must be paid to detail. Inmate management systems have databases that create a prisoner database. It is this database that is updated on any information that is relevant to the particular inmate. In fact, these databases are so well designed that, should the need arise, it would be possible for such information to be easily shared with other law enforcement agencies. This enables the correctional facility to ease cooperation with other agencies during such events as break outs or parole hearings.


Second, there is a challenge in organizing and scheduling all the many activities that are supposed to occur within the correctional facility. Such activities range from inmate visitation, conjugal visits, daily work outs, and rehabilitation through community service orders. All of these activities must be scheduled for an increasing number of inmates on a daily or weekly basis. Jail management system handles such needs automatically. They provide tasking and scheduling tools that create task performance schedules and duty rotas. This enables the administrator to use the employees at his disposal to work most efficiently.


Third, there is a challenge in determining which inmates should be released during parole hearings. The challenge is in knowing whether an inmate, when released, will relapse into criminal activity. Some inmate management system come included with functionality designed for this purpose. They can assess an inmate based on his past record, activities within the correctional facility, and any other relevant information to come to his threat factor. This information can prove immensely useful during a parole hearing. These systems indeed aid in managing the operations of a jail in a better way.
