ABSTRACT: HOW TO IMPROVE EFFICIENCY OF YOUR COMPANY, FIRM, FACTORY, … If you are the CEO, MD or Owner of a company, firm, factory, laboratory, school, hospital or any organization and want to improve its performance according to the international Quality Management System, you should try to get replies to the following questions:- • Do the clients feel satisfied with the performance of your company? • Have you started a system of obtaining feedback from your clients at regular intervals and whether prompt action is taken on such feedbacks? • Have you put in place a proper Complaint Resolution Procedure in your Company? Remember! Many larger companies have been wiped off the surface of this earth just due to the non-compliance of this procedure. On the face of it, it looks something very ordinary, but in essence, it’s a very powerful tool in getting first hand information and has got a lot of wisdom in it! • Are you, as the CEO, MD or Owner, informed as to which complaints had been received and what actions were taken on them; and also whether these actions were taken promptly and the client(s) informed about such actions? As a matter of fact, the CEO should be told right in the beginning as to what complaint was received. He should also be informed once the final action has been taken on the complaint. This is done through a specifically designed Complaint Resolution Form that is quite handy in the resolution of complaint • Are only the latest and amended documents being used in the company and that amendments are incorporated swiftly through an authorized procedure by a designated person? Are the discarded documents also being kept in safe custody for their future use (if needed)? For example, the documents pertaining to the design of a building may be kept for as along as fifty years! Say, if the building collapses due to some reason, it’s the design document that would come handy in identifying whether there was any problem with its design. • If any employee feels that something was going wrong in the company where he’s working, and that wrong practice was resulting into loss or difficulties for the company’s employees or clients, then he should be encouraged to raise a Corrective Action Request Form in order to get that practice rectified. The management should also be alive to his request and should take corrective action (if considered feasible) without any wastage of time. • Are Management Review Meetings being held regularly to discuss any problems relating to Quality Management System (ISO 9001: 2000) of the Company? These meetings could be held on a 3-monthly, 6-monthly or yearly basis as decided by the management.
This is necessary to ensure that the company’s performance doesn’t go down with the passage of time. • Are regular Internal Audits being conducted in the company regularly through its employees? These internal audits act as a lubricant for various departments of the company. Such audits also cost nothing as they are conducted by the company’s employees. For conducting these audits, the employees should be selected and provided training through a one or two days’ internal audit course. These are just a few points. There could be many more! Please remember that the Quality Management System is a proven system that has been adopted by millions of companies, firms, factories, schools, hospitals, organizations, etc, across the globe. The problem is that most of the people are interested only in getting the certificate for having adopted the system but don’t make any effort in implementing the system. This system has to be implemented clause by clause, in its right perspective. It is advised that as the CEO, MD or Owner of a company, you should take a full appraisal of the working of your company according to the requirements of the international Quality Management System. You may get a Gap Analysis conducted for your company as soon as possible. This Gap Analysis may take a maximum of two to three days. At the end of this Gap Analysis, you’ll get a fair idea about the working of your organization and would know the GAPS which would be highlighted through a report that you’ll get at the end of the Gap Analysis. The Gap Analysis would be a realistic one without caring for anybody’s interests as only then it would be useful for the CEO of the company. If the weaknesses as pointed out in the report are resolved, your company would embark on its way to progress and would come out as a viable, progressive and top of the line company! It may be mentioned that even a small company can outclass a much larger company if it conforms to the requirements of the internationally recognized Quality Management System!
